Quiet Build Terms and Refund Policy — QuietStaff Ltd
1. Who we are and who these terms are for
QuietStaff Ltd ("QuietStaff", "we", "us") is registered in England and Wales, company number 17171308, registered office 66 Paul Street, London EC2A 4NE. You can reach us at contact@quietstaff.com.
These terms apply when you buy a Quiet Build from us. They are for business customers only. By paying, you confirm that you are buying for your trade, business or profession (including as a sole trader), and that you are authorised to accept these terms for your business. If you would be buying as a private individual, please contact us before you pay.
2. What a Quiet Build is
- One session, one automation. A Quiet Build is a one-hour live session over video call, in which we set up one workflow automation for your business (the "Build").
- The scope is written down. Before the session, or at its start, we confirm the Build in writing, usually by email: what it will do, which tools it uses, and what "working" means. That written note is the scope. Anything not in it is not included.
- No surprise charges. If the Build turns out to need more than the session, we will tell you and either reduce it to something we can finish in the session or quote separately for the rest. We never charge more without your written agreement.
- Bigger work is separate. More automations, ongoing support or larger projects need their own written agreement.
3. Price and payment
- You pay the price shown on the payment page, in full, by card, before the session. Card payments are processed by Stripe.
- We are not VAT registered, so no VAT is added. The price shown is the total you pay.
- Introductory prices apply only while the introductory offer is running. If you pay an introductory price after the offer has ended, we will tell you, and you can choose either a full refund or to pay the difference up to the standard price.
4. Booking your session
- After you pay, we send you a link to book your session. Please book within 30 days of paying. If you have not booked within 30 days, we will refund you in full on request.
- Please join on time. The session ends at its booked time, even if it starts late.
5. What you need to provide
- Access to the tools the Build uses, in accounts that you own or control, with any permission needed to let us work in them.
- A decision-maker in the session who can log in and approve changes.
- A backup of anything important in those tools before the session.
Where a tool allows it, give us a temporary or limited user rather than your own login, and remove or change our access after the session. We do not keep your logins after the session.
If the Build cannot go ahead because access, accounts or information you were due to provide are not ready, the session counts as used. We will offer to rebook it once, free, within 30 days.
6. Rescheduling, cancellation and refunds
| What happens | What you get |
|---|---|
| You cancel or reschedule 24 hours or more before the session | A full refund, or a free rebooking |
| You cancel less than 24 hours before, or do not attend | No refund. We will offer to rebook once, free, within 30 days |
| We cancel, or cannot run the session | A full refund or a free rebooking — your choice |
| The Build does not work at the end of the session for a reason on our side | We fix it within 5 working days at no charge. If we cannot, you get a full refund |
| Something we built stops working within 7 days of the session because of a fault in our work | We fix it at no charge |
To ask for a refund, email contact@quietstaff.com within 7 days of the session (or of the missed booking deadline in section 4). Refunds go back to the card you paid with, normally within 5 to 10 working days. If something has gone wrong, please contact us before raising a dispute with your card provider — it is usually the faster route.
7. Third-party tools and AI
- The Build runs on third-party tools in your own accounts (for example email, forms, calendars, CRMs, automation platforms or AI model providers). Their own terms, subscriptions and usage charges apply, and you pay those directly.
- If a third-party tool changes, goes down, changes its prices or withdraws a feature after the session, that is not a fault in our work.
- Where the Build uses AI, its outputs can be wrong. Check AI outputs before relying on them or sending them to your customers. You decide what the Build is allowed to send or change.
8. What we promise, and what we don't
- We carry out the session with reasonable care and skill.
- We do not promise any particular business result, such as time saved, leads, bookings or revenue. What the Build does is set by the written scope in section 2.
9. Your data
During the session we may see or handle personal data held in your systems. For that data, you are the controller and we act as your processor. The subject matter is the Build; the duration is the session and any fix period in section 6; the purpose is setting up and fixing the Build; and the types of personal data and people involved are those held in the systems named in the written scope. We will:
- process that data only to deliver the Build, on your documented instructions (these terms and the written scope), unless the law requires otherwise;
- make sure anyone working on it for us is bound by confidentiality;
- keep it secure with appropriate technical and organisational measures;
- not engage another processor for your Build without telling you first and giving you the chance to object; our current providers are listed on our Sub-processor List;
- help you, as far as is reasonable, to respond to requests from individuals and to meet your own security, breach-notification and impact-assessment duties;
- not keep copies after the session and any fix period, and delete or return anything we hold unless the law requires us to keep it; and
- give you the information you reasonably need to show these duties are met, and allow reasonable audits.
How we handle your own contact and payment details is set out in our Privacy Policy.
10. Who owns what we build
- Once you have paid, you may use, copy and change everything we set up for you, for your business, permanently and free of charge.
- We keep ownership of our general know-how, templates and reusable components. You get a permanent, free licence to use them as part of your Build.
- If you would like formal ownership of anything we wrote only for you, ask us and we will sign a short written assignment.
- We may describe the Build in general terms, without your name or your data, in our marketing. We will name you only with your permission.
11. Liability
- Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot legally be limited.
- Otherwise, our total liability to you arising from a Quiet Build is limited to the greater of the price you paid and £1,000.
- We are not liable for loss of profit, revenue, business or goodwill, or for any indirect or consequential loss.
- We are not liable for loss of data that a reasonable backup would have prevented.
12. General
- These terms and the written scope are the whole agreement for your Quiet Build. Nothing in them limits liability for fraudulent misrepresentation.
- We may update these terms. The version published on the day you paid applies to your purchase.
- No one else has rights under these terms under the Contracts (Rights of Third Parties) Act 1999.
- If any part of these terms cannot be enforced, the rest still applies.
- These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
